BJMP DHRD TNA WebForm Privacy Policy

The TNA Webform allows users to collaborate and share work-needed information more effectively, for the utilization of the Directorate of Human Resource and Development. This Privacy Policy describes how and when your information is collected, used and shared by the DHRD when you, your colleagues or other users use the TNA Webform (which includes the BJMP website, that link to this Privacy Policy)

The TNA Webform is intended for use by the Bureau and in accordance with their instructions. If you are using the TNA Webform in a workplace or on a device or account issued to you by the Bureau, the Bureau is likely to have its policies regarding storage, access, modification, deletion and retention of information that you submit or provide through the TNA Webform.

This means that the Bureau, the BJMP, has the right to (1) control and administer your TNA Webform account ("Your Account") and (2) access and process any data that you submit or provide through the TNA webform, including, for example, your files and communications. Please contact the DHRD with any privacy enquiries regarding policies, including any enterprise agreements with the TNA Webform.

As a reminder, TNA Webform is a different service from other links in BJMP Website that you may use. Other BJMP services are governed by their own terms, whereas this Privacy Policy applies to your use of the TNA Webform.

I. COLLECTION OF INFORMATION

The DHRD through the TNA Webform may collect the following kinds of information on behalf of the Bureau when you, your colleagues or other users access the TNA Webform:

Employee data. Through use of the TNA Webform, you, your colleagues, the bureau and other users will directly provide or submit information to TNA Webform data base which includes, for example:

  1. contact information, such as full name and email address;
  2. demographic information;
  3. username and password;
  4. work title, department information and other information related to your work or Organization;
  5. all content that you create that are provided on your behalf, including information in or about the content that you provide,

Log and cookie data. We automatically collect certain information on the Buraeu's behalf through the TNA Webform, such as your Internet protocol (IP) address and other browser or device identifiers, browser type, operating system, crash data, Internet service provider, pages that you visit before and after using the Services, the date and time of your visit, information about your activities (such as the links that you click and pages that you view) within the Services and other standard server log information ("Log and Cookie Data").

In order to provide the TNA Webform on behalf of the Buraeu, we may use cookies, pixel tags, local storage objects and similar technologies to automatically collect this information. By using the TNA Webform, you consent to our use of cookies and similar technologies.

Your browser or device may offer settings related to these technologies. For more information about whether these settings are available, what they do and how they work, visit your browser or device's help material. We may not recognise or respond to browser or device signals around tracking, and some settings may interfere with your use of features that we offer. Additionally, the settings offered by a browser or device often only apply to that particular browser or device.

Information that we collect from the TNA Webform. From time to time, we may receive information about you on your Bureau's behalf, in accordance with their terms and policies.

We also receive information from our third-party partners on the Bureau's behalf for some of the purposes described in Section II below.

II. USE OF INFORMATION

The DHRD through TNA Webform will use the information that we collect to provide, develop and improve the services on the Bureau's behalf and in accordance with any other instructions from the Buraeu. Examples of such use include:

  1. communicating with users and administrators regarding their use of the TNA Webform;
  2. enhancing the security and safety of the TNA Webform for the Bureau and other users;
  3. personalising your and the Bureau's experiences as part of our provision of the TNA Webform;
  4. developing new tools, products or services for the Bureau;
  5. associating activity on our Services across different devices operated by the same individual to improve the Service which we provide to your Organisation;
  6. associating activity on our TNA Webform across different devices operated by the same individual; and
  7. conducting data and system analytics, including research to improve the TNA Webform. In these circumstances, the DHRD shall, to the extent possible, use de-identified or aggregated data.

We may also use the information that we collect to operate, maintain and improve the systems and infrastructure that provide the TNA Webform. You and the Bureau authorize us to do so and acknowledge that this may also result in improvements to the BJMP, DHRD Services, as centralized systems and infrastructure support the TNA Webform and other BJMP online services. For example, we may use crash logs from your use of the TNA Webform to identify and fix bugs that may also be present in the BJMP Website.

III. DISCLOSURE OF INFORMATION

The DHRD, as directed or approved by the Chief-BJMP, disclose the information that we collect in the following circumstances:

  1. to the Bureau, area of assignment, network administrators and other users authorized by the Bureau to access the requested information;
  2. to protect the safety of any person; to address fraud, security or technical issues; or to protect Workplace's rights or property; and
  3. as otherwise directed or authorized by the Bureau.

Legal requests. If we receive a subpoena, warrant, discovery order or other request or order from a law enforcement agency, court, other governmental entity or litigant that seeks data relating to the TNA Webform (collectively a "Legal Request"), we will make reasonable attempts to direct the requesting party to seek the data directly to you. If we ask the requesting party to direct the request to the Bureau, we will provide you with contact information to the requesting party. If legally compelled to produce information and unless legally prohibited, we will use reasonable efforts to notify your so that they can notify you pursuant to the Bureau's policies and as permitted by law. We will direct any requests for information under data protection laws to you and or office, unless prohibited by law.

IV. SAFETY AND SECURITY

We use the information that we have to help verify accounts and activity and to promote safety and security on and off the TNA Webform on your and the Bureau's behalf, such as by investigating suspicious activity or violations of our terms or policies. We work hard to protect Your Account, your data and information.

V. ACCESSING AND MODIFYING YOUR INFORMATION

You and the Buraeu may access, correct or delete information that you have uploaded to the TNA WebForm using the tools within the TNA WebForm (for example, editing your profile information or via the Activity Log) provided by us on behalf of your Office Assignment and the Bureau. If you are not able to do so using the tools provided in the TNA WebForm, you should contact the DHRD directly to access or modify your information.

Changes that you make to your information on the TNA WebForm take immediate effect on your specific network.

VI. DATA LOCATION AND PRIVACY SHIELD

In providing the TNA WebForm to you and in using the service providers referred to in this Privacy Policy, you understand that information may be stored or processed by us in different locations around the Philippines on the Bureau's behalf.

VII. THIRD-PARTY LINKS AND CONTENT

Some of the Services may contain links to content maintained by third parties that we do not control. We are not responsible for the privacy practices of these third parties, and we recommend that you view the privacy policies of each website that you visit.

VIII. ACCOUNT CLOSURE

If you would like to stop using the TNA WebForm, you should contact the DHRD. Similarly, if you stop working for or with the Bureau, the Bureau may suspend Your Account and/or delete any information associated with Your Account.

IX. CHANGES TO THE PRIVACY POLICY

We may update this Privacy Policy from time to time. When we update the Privacy Policy, we will revise the "Effective date" date above and post the new Privacy Policy.
